Create a task

Navigate to the task board

Within a matter, click on the 'task board' tab on the left hand side of the page.

Select the milestone that you want to add a task to (click on, or in between, the dots on the progress bar above the task board) to switch between milestones.

Click on the 'Create task' button above the 'To do' column on the task board.

Choose the:

  • Task name

  • The assignee: user to assign the task to

  • The reviewer (optional, but recommended): The user who will review the work of the assignee to confirm it has been correctly completed

  • The due date (optional, but recommended).

  • Mark this task as a priority (optional)

To speed things up, you only have to enter in a task name, but it is of course recommended that you complete the other fields too.

Editing task due dates

Note: The due date of tasks in a milestone cannot be later than the target date of the milestone. And in turn, the target date of the milestone cannot be later than the due date of the milestone.

If you want the task due date to be later than the current target date of the milestone, you will have to push back the target date in the 'edit milestone' menu, and perhaps also push back the 'due date' of the milestone too.

Click on a task to see the task details, including the option to edit the due date or mark it as 'priority'.

Entering task instructions

Once created, the task will appear on the task board in the To do column. The task will belong to that milestone.

You can click on the task to open it. You will then see the 'Description' field where you can enter instructions for the completion of the task.

Setting tasks as priority

You can mark a task a 'priority' which will cause it to go to the top of the assignee's task list on their dashboard. They will also get an email notification that the task has been marked as a priority. This is a very helpful feature for instructing you team when working asynchronously.

Use tasks and milestones not calendars and reminders

Users should feel free to create additional tasks. These are a helpful way of tracking all the different things you have to chase up and stay on top of in legal matters (e.g. receipt of documents, responses from other parties, etc etc).

Task and milestones are much more effective that merely setting a reminder in a to do list or in your calendar, as Hivelight tasks and milestones will stay front and center until you complete them - as opposed to reminders in other apps that vanish after you forget to action them.
