How to Sort and Filter the Matter List

The Matter List provides you with powerful tools to review and manage your matters.

By default, the matters will be filtered to show you just the matters that you are involved in (i.e. you are on the matter team for each of these matters). This is the 'My Matters' view. And, by default, the matters will be sorted by 'Deadline', meaning that the matters with the most urgent deadlines will be shown at the top.

Standard Matter Views

On the left, you can switch between:

  • All Matters: Show all matters that you have access to in this workspace, regardless of whether you are on the team for each matter.

  • My Matters: Show all matters in this workspace where you are on the matter team.

  • Starred Matters: Show all matters that you have 'starred' (see the star icon to the left of each matter name in the list). This works the same as when you star an email in Gmail or flag an email in Outlook. Use it to create a shortlist of matters that you are focusing on.

  • Archived Matters: Show all matters that have been marked as archived.

Sorting Options

On the right you'll see the sorting options.

The default is to sort your matters by urgency of the deadlines on the matters. The aim here is to help you to make the most impactful use of your time, by attending to the matters that most need your attention to stay on schedule.

However, you also have the options to sort by:

  • 'Created date (most recent first)': Showing the newest matters first.

  • 'Created date (most recent last)': Showing the oldest matters first.

  • 'Last activity date (Most recent first)': Showing the matters first that have been worked on most recently.

  • 'Last activity date (Most recent last)': Showing the matters first with the longest time since they were worked on.

Together, these options help you to see the latest action, manage risk, and catch issues before they become a problem.

General Matter Filters

In the center you'll see the 'General Filters' section.

This provides a powerful set of filters to help you slice and dice your matters quickly to get the answers you need.

Tips:

  • You can apply multiple filters at the same time. Just click on 'Add filter' to add additional filters.

  • Copy and share the URL from your browser after selecting your filters. This will provide them with a list that applies the same filters.

Matter type

Select one or more matter types to get a list of matters that are set to one or more of those matter types.

Select 'Not Set' to get a list of all matters have no matter type. This is very useful for tidying up your data for better reporting (Such as getting how many matters of each type you created each month - learn more).

Jurisdiction

Select one or more jurisdictions to get a list of all matters that are set to one or more of those jurisdictions.

Participants

Select one or more participants (users) to get a list of matters that have one or more of those participants on the matter team.

Contact

This allows you to filter your matters by the contacts that have been added to your matters (see the 'Matter contacts' section on any matter. Learn more: 'How to create and use contacts in Hivelight').

You can filter to find all matters that a particular person or organization is involved in. You can further filter those results to get all matters based on the role that person or organization is playing in those matters (e.g. client, lawyer, expert, barrister etc).

This is very helpful for filtering to get answers such as:

  • All matters with a specific client.

  • All matters involving a specific expert.

  • All matters involving a specific lawyer or law firm.

and so on.

Click on 'Add filter' and select 'Contact'. Search for the contact and select them. You then have the option to further filter by the role that contact has in your matters (note that you are able to add your own matter roles - learn more).

Role

This allows you to filter to get a list of all matters where a selected user has a specific matter team role (e.g. Owner, Lead, Paralegal, Junior Lawyer etc).

For example, you can filter to get a list of all matters where the selected user is the matter lead. This will be very useful for managers who need to do matter reviews with each of their teams.

Click on 'Add filter', and select 'Role'. Then search for the user and select the matter role.

Tag

Matter tags give you a lot of control and flexibility in Hivelight (see How to use Matter Tags).

You can use them to:

  • Add custom data points to your matters,

  • Filter to create custom matter groups, and

  • Get live reporting on the data points that matter to you (see Reports)

Matter tags consist of a label and an optional value. This allows for the two major use cases of using them to apply labels to matters (e.g. 'Group 1'), and using them to add custom attributes on your matters ('Referral Source: Google').

You can apply matter tags in bulk (simply select one or more matters in the matter list and click on 'Add Tag').

To filter by matter tag, click on 'Add Filter' and select 'Tag'.

Select the tag label you want to filter the matter list by.

If you want to just filter by the label stick with 'Exists' from the drop down menu. If you want to filter further by value (i.e. you may have a number of matters that have the same matter tag, but with different values in each - e.g. Referral Source: Google, Referral Source: XYZ Lawyers), select 'Equals' or 'Starts with' from the drop down.

If you select 'Equals' or 'Starts with' a field will appear for you to enter the value you want to find.

'Equals' will give you all matters that have the selected tag, where the value in those tags exactly matches the value you specified.

'Starts with' is a more forgiving filter as it will find all matters with the selected tag, where the value in those tags starts with the value you specify.
